Privacy Policy

Terms of Service Privacy Policy About FundsCheck

FundsCheck is provided by FPP EDU Media LLC, 9550 S. Eastern Avenue, Ste. 253, Las Vegas, NV 89123, United States ("FPP", "we"). This policy explains, in plain language, what happens to a document from the moment it is uploaded.

1. Our role

For the documents and personal data of applicants and sponsors, the institution you are applying to is the controller: it decides what to ask for and what to do with the result. FPP is its processor and acts on its instructions under a written agreement. For the account data of institution staff and for visitors to this website, FPP is the controller.

If you are an applicant and want to know how your institution uses FundsCheck results, ask the institution's admissions office. We will help the institution answer.

2. What we process

WhoDataSource
Applicants and sponsorsName and email address; the financial documents submitted (statements and the information they show, such as holder name, masked account number, balances and transactions); document metadata; the readings, findings and certificates we produce.Uploaded by the applicant through the Student Portal, or by the institution's staff.
Institution staffName, work email, role, login and access records, and actions taken in the dashboard.Provided by the institution when it creates the account.
Website visitorsTechnical data needed to serve the pages (IP address, browser type, pages viewed). No advertising trackers.Your browser.

We ask institutions not to submit special categories of personal data, and we take reasonable steps to avoid processing them.

3. Why we process it

  • To analyze each document and produce its reading, findings, currency conversion, translation on request and certificate.
  • To compare each document and account against documents previously submitted to the same institution, so that a reused file or an account appearing under two different names is flagged.
  • To provide the dashboard, the Student Portal, notifications and support to the institution.
  • To keep the service secure, prevent abuse and investigate incidents.
  • To comply with law.
  • To produce aggregated statistics that do not identify any applicant or institution.

We do not use applicant documents to train generally available machine learning models, we do not sell or rent personal data, and we do not use it for advertising. Our sub-processors are bound by the same restriction.

4. Who processes it on our behalf

FundsCheck runs on the infrastructure of the providers below. Each one receives only what it needs for its purpose, under a written contract that limits use to that purpose and prohibits training on the data.

We give institutions at least thirty (30) days notice before adding a new provider.

5. Who can see your data

  • Your institution. The staff it authorizes see the documents submitted to its account and the results. Every access is logged.
  • FPP staff. Only to provide support the institution asks for, to investigate an incident or to perform a human review. Each access is logged and limited to authorized personnel.
  • No one else, unless the law requires it. Documents submitted to one institution are not shown to another institution.

6. How long we keep it

Documents, results and certificates are kept for the duration of the institution's subscription and for twelve (12) months after it ends, unless the institution asks for earlier deletion or the law requires a longer period. After that they are deleted, except for backups that expire on their normal cycle and records we must keep by law. Login codes expire within minutes. Access logs are kept for twenty-four (24) months.

7. How we protect it

  • Encryption in transit (TLS) and at rest.
  • Access on a least privilege basis, with multi factor authentication for institution users and for FPP staff.
  • Separation of each institution's data in its own account.
  • Logging of every access to applicant documents.
  • Backups, vulnerability management and confidentiality obligations for all personnel.

If a breach affects applicant data we notify the institution without undue delay, and within seventy-two (72) hours of confirming it, with the information it needs for its own notifications.

8. International transfers

FundsCheck is operated from the United States. Where data is transferred from the European Economic Area, the United Kingdom or another jurisdiction that requires a transfer mechanism, we rely on the applicable Standard Contractual Clauses with the institution and with our providers.

9. Your rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal data, to object to or restrict its processing, and to complain to a supervisory authority. For documents and results, please address your request to the institution you applied to, since it is the controller; we assist it in responding. For anything else, write to fundscheck@fpp.world. We answer within thirty (30) days.

FundsCheck results are not used by FPP to make automated decisions with legal or similarly significant effects. The institution commits, in its agreement with us, to keep meaningful human review of any adverse decision.

10. Cookies

The FundsCheck application uses only the cookies needed to keep you logged in and to protect forms against misuse. This website uses a cookie to remember your cookie choice and basic analytics that do not identify you. We do not use advertising cookies.

11. Children

The Student Portal is intended for applicants to higher education. If an institution directs applicants under sixteen (16) to the portal, it is responsible for obtaining any parental consent the law requires.

12. Changes to this policy

We will post any update on this page with a new effective date and notify institutions of material changes at least fourteen (14) days in advance.
